This role plays a crucial part in ensuring the smooth operation of the division by assisting with various tasks and projects. The ideal candidate will be highly organized, proactive, and capable of handling multiple responsibilities in a fast-paced environment.You will:
  • Provide high quality admin support to the GM/Division (diary management, mail management, co-ordination of meetings, agendas and all related arrangements i.e.travel arrangements, expenses reporting etc)
  • Take care of the meetings' agenda, participants, updating contact lists
  • Prepare briefs / analyses requested
  • Manage relationships with internal &external stakeholders, external partners and organizations supporting via excellent flow and network creation
  • Coordinate and facilitate communication within the division, including distributing information, following up on action items, and ensuring deadlines are met
  • Assist in organizing divisional events, meetings, visits and conferences (incl arranging logistics, preparing materials, and on-site support as needed)
  • Ensure records/files are up-to-date and easily accessible
  • Circulate communication and information as indicated by reporting manager
  • Provide support with special projects and ad hoc tasks
  • Handle confidential information with discretion and always maintain strict confidentiality.
You have:
  • Proven 2 - 3 years of experience in an administrative support role, preferably in a corporate or divisional setting
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines
  • Strong written and verbal communication skills (in Greek & English), with attention to detail and accuracy
  • Proficiency in Microsoft Office Suite and other relevant software
  • Adaptability and flexibility to handle changing priorities and demands
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
  • Ability to work independently with minimal supervision, as well as collaboratively within a team
  • Adaptability and the ability to work well under pressure in a fast-paced environment
  • Proactive mindset with a strong sense of initiative and problem-solving skills
  • Bachelor's degree is not mandatory, but will be a plus
