- Ensure that all the hotel systems are updated accurately and on time with the information provided by the group organizer (enquiries, room blocks, rooming lists, dinner schedule, flight details, arrival details etc.)
- Oversee accuracy of room blocks and reservations and revise room blocks to maintain the required number of available rooms and keep organized files of all groups
- Understand the product we offer, including event space, room types/layouts, capacities, and event/restaurant menus
- Conducting the internal communication Banquet Event Order in a timely manner, including all the important information
- Prepare and distribute internal communications regarding groups, sharing essential details with hotel departments before arrival
- Delegate daily tasks to Coordinators. Supervise and assist where necessary
- Support daily tasks in cooperation with the Assistant Manager
- Demonstrate knowledge and update in a timely manner all hotel systems (Opera, etc.), produce required reports when needed
- Prepare and maintain event files, including offers, rooming lists, dinner preferences etc.
- Maintain familiarity with all hotel services, event spaces, and available packages
- Welcome and acknowledge group organizer according to company standards; anticipate and address guests service needs; thank guests with genuine appreciation
- To effectively communicate, in a timely manner, any amendments or alterations to a group/event ensuring that the clients’ needs are always met
- Handle any comments or complaints that might arise from group organizers
- Handle guest complaints in a professional manner and come up with solutions
- Communicate challenging situations accurately to responsible departments
- Ability to adapt - maintains performance level under pressure or when experiencing changes or challenges in the workplace
- Handle daily email communication internally and externally related to the groups, providing accurate information about services, facilities etc.
- Responsible for the accurate daily check of a group folio based on the contracted arrangements. Check for extra charges and follow relevant procedures (Opera Pay Master report etc.)
- Handle the billing process by preparing invoices, having bill reviews, and finalizing the invoices by ensuring billing accuracy
- Rewarding Bonvoy points in a timely manner after checking the required criteria mentioned on the Job Aid for posting points
- Follow all H&S rules, hotel policies, SOPs and Brand Standards at all times. Guide and encourage team to do the same
- Attend all trainings and seminars provided by the company and continuously remain updated for all trends and market news
- Liaise between the hotel and the Golf Department to ensure seamless communication and coordination
- Two years of experience as an Agent in the travel, tourism, or hotel service sector is preferred
- Bachelor’s Degree (BA/BSc) in Business or Hospitality Management
- Excellent command of the English language, both spoken and written; proficiency in at least one additional language is preferred
- Proficient in computer skills, including word processing, spreadsheets, and email, with familiarity in hotel systems such as Opera PMS preferred
- Strong communication skills, including verbal, listening, and writing abilities
- Strong organizational and administrative skills, with experience in office management
- Ability to multitask effectively and handle daily responsibilities
- Proactive and dependable in all tasks
