- First point of contact for all visitors to the office
- Responsible for incoming phone calls as well as office e-mail.
- Personal Assistant to the Managing Director and assisting the management team in Greece when required as well as further administrative tasks.
- Handle incoming and outgoing correspondence, including emails, letters, and packages.
- Ensure smooth operation of the office, handling all supplies, handling all service providers
- Preparing Ad Hoc reports and administrative tasks requested by local management or from the group.
- Responsible for travel management as well as handling the travel expenses for all employees at the subsidiary.
- Assisting owner of process to maintain and communicate local policies and updates.
- Responsible for the company cars including pool cars
- Responsible for equipment such as mobile phones and computers
- Overseeing the raising of purchasing requests, following up and handling purchase orders for local indirect office supplies.
- Supporting the Finance department in booking vendor and customer invoices when required
- Preparing statistics for authorities required according to legislation and submitting them in due time.
- Supporting P&C admin tasks when required mainly for reports to be handled
- Ensure confidentiality of sensitive information.
- Perform other related duties as assigned by management.
- Support administrative staff with various tasks and projects.
- Proven experience as an Office Assistant, Administrative Assistant, or in a similar role
- High school diploma or equivalent
- Flexibility and ability to deal with a significant number of items running concurrently
- Self-motivated and committed
- Ability to work in a team
- Strong organizational skills and ability to set priorities
- Excellent communication skills internally and with external customers
- Good knowledge of English (spoken and written)
- Strong IT skills, especially MS Office (Word, Excel, Power Point, Outlook), experience in SAP is beneficial
- Experience in (local) HR topics is a plus
